Strategies for Creating a Paperless Environment
Transitioning a paper-based filing system into
a digital format can be overwhelming. Especially considering the
hundreds of thousands of documents that are probably stored in your
company’s many filing cabinets. Even though the term “paperless office”
was coined over 30 years ago, many offices have struggled to make the
shift.
In order to make a paperless office a reality, change will be
necessary. Document imaging requires a shift in the way we approach
business. Before moving to a paperless environment, a company needs to
be sure they understand the benefits, they address it from the top down
and they understand the technology.
Understand the Benefits
Benefits to moving to a paperless office include:
- Improved efficiency and productivity
- Increased regulatory compliance
- Risk management or business continuity
- Better customer service
- Reduced costs
From the Top Down
One of the most common reasons why a change initiative will fail is
that management does not support the decision. If the head of your
organization fails to see the need for change, the change initiative
will fail, and you will have wasted time and money in the effort. When
going paperless, you need to ensure management is on board.
Understand the Technology
Most likely, the technology for a document management system is
similar to technology you already use. However, hiring a company that
has a strong understanding of document management principles and
understands how the business requirements affect the need for the
technology can be incredibly useful.
You may be surprised at the technology available today to help you
increase your operational efficiency. We can help you understand and
utilize document management technologies. Let us analyze your workflow
and provide solutions to your business challenges.
